This is our first day of internship in the Registrar’s Office of Pasig Campus of Rizal Technological University. Prior to our first day, I met Doc. Teresa to inform you that I am one of the intern students in the register. She informed me that we should come back the next day at 1:00 in the afternoon because they are closed tomorrow morning. They will open the office after lunch. So we need to meet her because she will orient us about the rules and regulations. Also, to teach us about the right processes in accommodating the customers who are getting the credentials. In addition, we came into the office at 1:00 in the afternoon. Unfortunately, there are a lot of customers/students who are waiting in line. They let us wait inside the waiting area of the office. While we are waiting for Doc. Theresa. We are observing her, on how she accommodates the students or customers in their needs.
Today is our first day in the internship at the registrar’s office. Right after we checked at 8 o'clock in the morning, we immediately do the task that was assigned to us yesterday before we go home. We cut papers for clearance for the graduating student. And we do separate it by course, and arranged by alphabetically. We also labeled it so that it is easy for them to find the clearance for each course. We finish it 30 mins before 12 noon. I and Mr. Kenneth were assigned to roam around to look for the different colleges and courses. We should collect two representatives per course and get the information like their names and their emails. Unfortunately, some of the assistant deans per college were not present on campus. Hence, we go back to the office to do more tasks. We informed Ma'am Theresa why we suddenly came back. However, Sir Arnel gave me a new task to pull out the names of the student in the paper he gave to me.
Today, Ma'am Theresa gave me a partial list of representatives per course. I wrote it in the log book. After that, Sir Arnel gave me another list of students that I should pull out of their clearance and gave it to him. He also gave me 4 lists of courses before he left the office to attend the orientation. After I finish getting the clearance of students per colleges and courses. I leave it on his table and I left a note about the list. Subsequently, I go to the window to learn how to assist with different transactions that we may encounter. I can say that some transactions I did it successfully because of their guidance. Especially Ma'am Teresa, and Sir Aaron, a student internship also. Handling different transactions, I find it confusing. However, if I’m not sure what I'm doing. I always ask them rather than have them mistaken.

Earlier in the morning, Ms. Carla assigned me with Mr. Kenneth and Ms. Rachelle to segregate the document papers in the box. We put the documents like TOR, Grade slip, and Diploma with attached a receipt that will serve as proof or receiving a copy to their respective envelope file. After separating, we started to find their envelope using their Surname’s First Letter, and soon. In the afternoon, we initiate to assist in the window. I assist with different transactions like giving them a completion, a Transcript of Records (TOR) request, and finding their envelope files.
On this day, we were informed by Ms. Teresa to only have two window persons in the registrar. Then the rest will do the other task like pulling out the files. So, for now, only two person was in the window. Hence, Doc. Tere gave us a task to segregate the other files and put them in the files. We did it the whole day. A lot of papers like certifications, diplomas, and transcripts of record are needed to put in their own file. Almost all files that we have can be found in their storehouse or bodega. Wherein the old files of RTU students can be found there too.
Earlier this morning, we still continue putting the right papers in their own files. We still found it in their storehouse. Unfortunately, some files can’t be found. Thus, we put them in one envelope and labeled them as "can’t locate the file". After that, Ms. Karla gave us a new task. We were assigned to recheck count the clearance per course that she gave. Also, right after that, Sir Arnel gave us a task to check if all the list of students he gave had a clearance. We put it also a label for him to easily identify what colleges are. When lunchtime passed by, we ask permission to Sir Arnel and ma'am karla if can have a half day for us to have a medical certificate.
We are assigned to get the application file and original files of candidates for graduates. Our task is to check if they already have a form137 JHS and SHS. Then we will attach both files into one. Right after that, we were assigned to recheck the clearance of those students who are candidates for graduation.
Today I was assigned to help Ms. Germinal to compute the grades of the students who are candidates for a Latin honor or laude. After that, we initiated fixing and arranging the shelves of envelopes starting from the office up to the storage room. It was hard, we have a lot of paper cuts in arranging it. But, I find it enjoyable too, arranging this is so helpful to easily distinguished and identify the files. Unfortunately, we don’t have enough time to arrange the files in the storage room. We initiate to arrange the diplomas in different years of graduation alphabetically. And segregate the courses from others.

For day 9, Sir Arnel assigned me with Mr. Kenneth to pull out the files of the graduating students in different colleges like the College of Education (CED), and College of Engineering and Architecture (CEAT). All we need to do is to merge their original files to the application file for graduation. Also, while merging their two files. We need to check if they already passed Form 137 Junior High School (JHS) and Senior High School (SHS). If old curriculum, they must have high school form 137. Aside from that, their applications for graduation we put stamped on and verified by the names of Sir Arnel. Once were done with it. We gave it to Sir Arnel to sign it then we will put it in their files. On the other hand, after lunch, we helped others in the window. I also assist with other transactions. Then, I also helped them to pull out the files of the customers.
Today, I assisted transactions in the windows again. I was so happy if I gave them a good service. It is very fulfilling to know the transactions in the registrars. Though, I’m still a little bit confused about how to handle others. I asked for assistance and guidance from them. Luckily, they are willing to teach me and willing to extend their helping hands. After being assigned in the windows. Sir Arnel gave us a new task. Just like yesterday, we pulled out their application for grad paper. We put the name of Sir Arnel on the ones who verified it and have it a signature by him.
When I got back to the office after 2 days of absence due to the fever. I noticed that we already have an enormous registration form. So, I initiate to organize it by separating the registrar copy, accounting copy, and dean’s copy. Also, it should be organized per college. We make a bracket so it can handle a lot of registrations form. Right after doing that, we are assigned by Ma'am Carla to stamp all the envelopes of graduating students she verified. She handled courses at the College of Business of Entrepreneur and Accountancy (CBEA) and the College of Education (CAS). We are also instructed to write a Second Sem on graduation and also to write the school year 2022-2023. We did it all day, and we put it back in the right place on the bookshelves.
We are given a new task today. We are assigned to check the files of the freshman students here for the school year 2022 if they have completed Form 137 for Junior High School and Senior High School. We divide the whole row into two shelves for each of us. Ms. Borja was going to check the files of the students starting from the surname that starts from A up to D. Moreover, I was assigned in the middle part to check their files starting from the De-surname up to N surnames. Lastly, Mr. Kenneth is the one who are checking the files of the students from surnames that start with the letter O up to the letter Z. After checking their files, we are going to list their names on a piece of paper, together their course and the remarks if they are complete, lacking one Form 137 or both lacking.

We are still continuing to finish the checking of the files if they have Form 137. Unfortunately, Ma'am Beloy noticed that it is very laborious if we still included in the list those students who are lacking both Junior High School (JHS) and Senior High School (SHS) Form 137. So, Ma'am Beloy decided to not include those students that didn't have any Form 137. We are listing those complete and inadequate form137 students to easily finish checking and do the re-typing.
For this day, the office are needing one to charge who knows how to re-create the clearance of RTU for documents request. I initiated to do it, so this early morning I am creating an RTU-SRAC clearance. I asked for their suggestions and recommendation for slight amendments for the clearance. After doing it, I informed them and I sent it to Sir Arnel so that we can see the outcome. Right after the clearance, I started encoding the list that we created in the paper. I encode the name of the students to their own sheet of course in Excel. As well as their remarks if they passed completely or they only passed one. Neither Junior High School (JHS) nor Senior High School (SHS).
On the last day of the week. I do encoding and create a list of laude honors for the graduating students this school year. I handled electrical engineering and all courses from the College of Education. After that, I should indicate their status or remarks. Based on their general weighted average and lowest grades I will write remarks about whether they are cum laude, magna cum laude, and summa cum laude. Meanwhile, I am still encoding the list of the students. I will go through a lot, I haven't been in the middle. But it gives me a sense of satisfaction if I knew that I helped them a lot. I also do a little amendment in the RTU clearance until they are satisfied with its outcome.

As the new week starts, I go to the office and continue what I am encoding about form 137 of the freshmen students school year 2022. It has a lot of names of students to encode so I can't finish it in just 2-3 days. However, in the middle of the encoding Ma'am Carla ask me to do the graduation clearance of some students. There is this scenario due to the big amount of clearance to print. Some weren’t able to have a print, so in order for them to have clearance. I imitate the original one. Then after that, I was assigned to create Loyalty Award for Ma'am Carla and Sir Arnel. Loyalty awards are given to those students who didn't change their schools/universities during their college days. In short, students who graduated senior high school in RTU and will graduate this school year in the same school RTU will be given an appreciation or loyalty award.
Earlier this morning, I continued working on the loyalty award. I need to check whether the names of the graduating students were on the list of graduates from the school year 2018 and 2019 from RTU. If the candidate of graduating students was listed in the previous candidates of senior high graduates in RTU. Then, probably they will be included in the list of the students who will be given a loyalty award. Eventually, before we go home. I managed to finish it all including the list for Sir Arnel. Mr. Cobarrubias helped me to work on this. He's the one who will tell the names of students who graduated senior high school in RTU years 2018 and 2019. Then I am the one who verified the candidates of graduates this school year. And because I still have time left, this time I help Mr. Cobarrubias to put the files in the for-release section since it has the signature of the university registrar.
This morning, when we got to the office we continued to put back the files into the for-release shelves. After that, I open the laptop to merge the form 137 that I am encoding to the Form 137 that Ms. Borja and Mr. Kenneth encoding. Meanwhile, before I close the laptop. Ma'am Beloy gave me a new task to edit the RTU registrar clearance. I edited the Student Records and Admission Service (SRAS) into the Student Records and Admission Center (SRAC). As well as I edit the important reminders to make it short and clear to everyone who will have transactions. Moreover, I changed the position of the request procedure and the claim slip part. I put the claim slip in the last part of the clearance. In addition, after lunch, I, together with Ms. Borja arranged the file envelopes in the fore-release shelves as well as in the storehouse. Due to the reason that some of the files weren't in properly arranged. Right after fixing it all. We go to the window to assist with some transactions like locating their files and receiving their requested documents.
Earlier this morning I assisted the client in the window. Most of the transactions are authenticated or certified true copies of their documents. Most of the clients used this for their renewal of scholarships. Also, Ma'am Beloy gave me a task to encode the names of the CBEA students who graduated in the year 2018 to be requested to the Boni Campus because there is some correction that needs to be corrected. Unfortunately, we need to cut off the transactions earlier, 12 in the afternoon due to the reason for heavy rainfall.
Today, I was the one who was in the window. I do the transactions the whole day. It is so fulfilling to be able to do more transactions than before. I really believed that experience is the best teacher. Due to my experience today, I can now handle more different transactions confidently without being fear. If there are circumstances that I am not certain I asked Ma'am Beloy or the other staff of the registrar. So, to this day the transactions that I did was the authenticity of documents for their scholars or SPES. I do receive and stamp enrolled and authenticate then I will give it to Ma'am Beloy or to other staff who are free to sign the authentication. As well as I do give honorable dismissal and released the requested Transcript of Records (TOR).

Today, I was one of the people who are assigned in the window for transactions. We are bombarded by a lot of clients. Their transactions are authenticating documents that are needed for their scholarship and for the SPES - a summer job for the students in the city. It is one of the requirements that's why most of them are having transactions in the registrar. In addition, I also released documents like a true copy of grades that were requested beforehand, and ready to be claimed. As well as, I released a requested TOR for employment, for board, and for bachelor.
As the new days came, I helped to assist in the window. I released TOR in others. Also, I do authenticate other documents of the students like registration forms and grade slips. Moreover, I also released a diploma, cert of graduation, and a true copy of my grades. And I received their requested documents in their file if it's TOR and put them in the line to the table of Ms. Carla if it's certifications and a true copy of grades. I also re-wrote the subject description of the old curriculum. Today's work is tiring yet fun because I already know some transactions in the registrar. Before I go home, I list the names of the persons who are ready to claim their documents as documents prepared in the log book.
Earlier this morning, Given the fact that this past few days most of the students go to the registrar’s office to stamp the registration slip that they will be using for their scholarship and for the SPES. We separated the registration form by its copy and per course. We first separated the copy from the accounting, dean, and registrar copies. After that, we separate it per colleges: CAS, CBEA, CEA, and CED. Unfortunately, we need to stop separating due to the arrangements of the office of the registrar. So, I came to the window to assist other transactions and help them to pull out the original files.
Today, we are very busy since a lot of graduating students keep coming to the registrar’s office to inquire about what requirements they are lacking to be labeled as not cleared. So, in order for them to answer their queries. We need to get their names and check their files to know what they are missing. But most of them are lacking 137 JHS and SHS. Hence, they will be marked as not cleared because they need to comply with it first. If they are lacking both of these or even one form 137. We gave them a request letter for form 137 and they should give it to their school. And immediately, submit it to the RTU registrar’s office once they have it so that we will mark their names as cleared because they have already completed it.

Today is Tuesday. We are very busy in the office since a lot of graduating students keep coming to the registrar’s office to inquire why they are labeled as not cleared on the graduation list. So, since a lot of them keep coming back here. Ma'am Beloy decided to make a schedule per College. Which was today, we should accommodate only all CEIT regardless of what course they are as long as they are all Engineering. If not, we informed them of the schedule of their course. Per student, we must check their files to know what requirements they are lacking. And we also gave them a request letter of form 137 that should be given to their SHS school. Also, upon checking their files. We are checking the list so that we already know who goes to the registrar’s office to inquire. There is a case where they are labeled as not cleared.
Same as yesterday, we are still assisting the graduating students but now the CED students since it's their schedule today. Early in the morning, there are a lot of students waiting in line. Knowing the fact that CED is one of the colleges that has different course offerings. Same problems just like others. It's all about their form 137 which must be completed. We get their names, locate and check their files. After checking, we are informing them as well as we gave them a request letter and inform them that they must pass their lacking form 137 so that that will not be labeled as not cleared or with deficiency. It is a tiring day, knowing that we were only 3 OJTs today. But we need to move and always assist all the time as long as there are a lot of students waiting in line. After accommodating and assisting them, also since it is already cut off. We are pulling back the requested files to the for-release section.
Another day of verifying Form 137 of the graduating class of CAS (College of Arts and Sciences) . They are given a chance to clear their remarks in order to get their credentials once they graduate. We always remind them that even though they are not cleared they can graduate on time. The downside of this is their credentials will remain on hold until they submit complete form 137 of JHS and SHS. Moreover, CAS has only two courses which are Political Science and Psychology. I am also assisting the other transactions like the requested honorable dismissal. In addition, releasing of requested documents as well just like transcripts of records, and true copies of grades. Meanwhile, in the afternoon session, we became so busy because the astronomy students who are in their third year are making clearance because they want to transfer to the Boni campus.
We pulled out the files of CBEA students who are deficient or not cleared because today is exclusive only for the CBEA. We don't accept any verification from other colleges because they have their own schedule. We are focused on the CBEA. At first, I was assigned to locate form 137 only. But then, I notice that they are so busy and they don't give names to locate form 137. I also assist in the window. We take turns in assisting at the window. In short, all of us are in the window because this College has a lot of students enrolled. They are also the colleges that have an enormous number of students who are not cleared. Thus, once one of us is assisting 3-5 people. While they are locating and pulling out their files. Another person will stand in the window to call 3-5 people and it will always repeat in that process.

Another week for the verification of form 137, for those students who are not cleared. I was assigned to window the graduating students together with Dr. Beloy. They need to clear their names in order to have a terminal clearance since they are graduating. Today, it is the schedule of CEIT. There are only a few CEIT students who came to the office to verify their names so we allowed other Colleges to accommodate them if there is no CEIT. We need to make sure that we should prioritize the CEIT because it's their scheduled day. Meanwhile, if there are graduate students. I'll go into the transactions window to help and assist.
Today is for the College of Education (CED). It's their second chance for those who aren't able to come last week during their schedule. It is their time to verify their lacking requirements. We always accept the submission of FORM 137 even though they came from other colleges. They will just need to sign into the logbook. We allow them to take a picture in the log book as proof as long as we should cover the name and information of another person who also logged. If I am vacant and there are no graduating students. I also assisted in the transactions, I used my window to have a 3 window for transactions. Though most of them are for the authentication of the Grade slip and registration form. As well as stamping enrolled in their registration form. However, if I see that there is a long waiting line for the graduating students. I prioritize them.
Thursday is the schedule of the College of Arts and Sciences (CAS). However, there are only two-course offerings. Psychology and Political Science. Since they are only a few. We are allowed to assist with some of the different courses. Just make sure to prioritize the scheduled course. Unfortunately, due to some of the students who are blabbering something inappropriate regarding their Form 137 and also, they are not the priority course. We are given instructions to just accept submitting Form 137. If they are going to verify their lacking requirements they need to come on their scheduled day. As well as I encountered clients who didn't believe in me. As a policy in the registrar regarding the claiming of the requested credentials and having a representative they need to email first the DPO (Data Privacy Office) for the agreement form.
Given the fact that CBEA has a numerous number of students enrolled, today is the second day of their schedule in verifying Form 137. They are scheduled every Friday, hence they still keep coming even though it's not their schedule these past few days. So, I find it hard for us because the files that were placed in the window weren't their files. We are putting the files in Windows based on the schedule of each college. Even though some of them, came on different days, we still have a lot of waiting students in lines. Then, there is this one Financial Student who is getting mad at me because I'm looking for the original copy of her Form 137 SHS or even the original certified true copy because she just submit the photocopy which isn't allowed. She keeps insisting that they passed the photocopy because it was the instructions to them before so she asked me why I am looking for the original. I decided to pass her to Dr. Beloy because I can't take it anymore.

Finally, after two weeks of verification of graduating students from what they are lacking required documents. We officially started the clearing operations of their clearance. We are checking their names based on our list of who came into the registrar’s office to clear their remarks. Once they passed their form 137 completely with their junior high school and senior high school summary of grades, then they will be cleared on their clearance and they can also get their credentials if they need it.
Day two of our clearing operations since there are a lot of graduating students who still passed their form 137 in order to clear their names. I am handling CEIT and some of the CBEA like Accountancy and Entrepreneur. Once they are cleared we are separating the photocopy and original. Then the original will be back to them and the photocopy will stay in the registrar and will be put it to their envelopes.
Day 3 of checking clearance since a lot of students still passing their form 137. So we need to re-check again the list who recently passed form 137. In order to clear their clearance. After doing the re-checking I came to the window to assist our clients in releasing transcripts of records, requesting honorable dismissal, and stamping enrolled their registration form. Then later in the afternoon, after lunch, I encoded the names of graduating students so that their marks will be changed to “cleared” . Unfortunately, I didn’t finish it because it was getting late, and we should leave so I stopped in the College of Business Entrepreneur and Accountancy CBEA.
We are still re-checking the list if they submit their Form 137 completely. There are a lot of students who kept passing their Form 137 as well as the block representative kept coming to pass their clearance. After clearing their names, since we finish some. Dr. Beloy said that if there’s a student who kept passing Form 137. It’s for the second batch of clearance. So, after that, I go to the window to receive form 137 and look for their files to insert it. Once, it was in their files I tell them that they are now cleared and must wait for the updated list and their clearance to be cleared too.
I am assisting in the window, I released honorable dismissal but before I released it I checked if there is form 137 in their file. After that, I am giving clearance for requesting documents. I encountered a certified true copy of the grade slip and the registration form for their scholarship. As well as there are some of the class representatives who came to the office to stamp enrolled their registration forms for the whole black sections. But before I go home. Dr. Beloy asked me if I can make her certifications turn to pdf file. So, I help her to convert those certifications of her from jpeg type to pdf file.

This day is a normal day. I assist clients in the windows by what type of transactions they are requesting I even give them clearance for requested documents. Then received the clearance and their receipt. I answer their queries. I even released the requested True copy of grades and transcript of records. Then, I stamped a lot of “enrolled” on their registration form given by their class representative so that they will be no more lines for transactions it is advised to give their registration to the class rep. then their class representative will be the one who goes to the registrar’s office to stamp enrolled.
Earlier in the morning, we are in the window to assist transactions. But since we’re going to end by tomorrow. Ma’am Beloy gave us a task to arrange the files of graduating students this year. Regardless of their remarks if they are cleared or not cleared. We are going to generally file them. This time we were not going to separate them in other courses and just arrange them alphabetically. But in the overall arrangement. So, we started by pulling out their files. After pulling out their files, we move the school year 2018-2019 and the school year 2019 – 2020 to the upper part of the shelves so that the graduating files will have 2 rows straights. After doing that we started to arrange the files, we started with those surnames starting with A, followed by B, and so on. Unfortunately, we don’t have enough time we need to stop in the Letter L. Since some of the alphabets are too many to arrange.
The feeling of being tired can fade away. After arranging them all we make tags and labels so it can be seen and distinguish what school year they are looking for and what alphabet are they finding. We cut, and cover it with a plastic cover so it will be indestructible. After that, we put it and paste it on the shelves. We also, arrange the files on both shelves so it will be nice to see and neat. I also clean one cabinet, eliminate the trash, and arranged things in a neat way. Then, I also separate the CAS AND CBEA into the CED and CEA cog or certificate of graduation. Since CAS And CBEA will be handled by Ma’am Gunda, then CED and CEA is by Sir Arnel. Today will be memorable. It marks our last day, we do give them a memorable goodbye by sending them food before we eat, and we do a group selfie with all. We bought Angel’s pizza as our way of appreciation for working with them. Also, after eating we’re having a chitchat Dr. Beloy asked us what will be our memorable experience in registrar that we can’t forget. We all shared, then I shared mine about her protecting me from our clients.
